Schedule Meetings
In addition to scheduling activities for your employees directly within their schedules, you can also schedule meetings or other activities for multiple employees at the same time using the CXone WFM Meeting Scheduler.
Keep in mind, scheduling meetings on days without schedules may get overwritten. This can happen when generating a new schedule on a day that you scheduled a meeting.
Your scheduling unit has a published schedule for August. You plan a meeting every Monday morning for the next three months: August until the end of October. Next, you generate a schedule for September for your unit. The Monday meetings will be removed for September because they were on days without a schedule.
Users can schedule recurring meetings with the CXone WFM Advanced license.
To schedule a meeting:

Click the app selector and select CXone WFM.

Click Schedule Manager.

Click Settings and select Meeting Scheduler.

Choose how the meeting will be scheduled:
- Fixed time: You define the exact date and time the meeting will take place.
- Flexible time: You define a date range. The scheduler will add meetings for the employees within that range. The meeting will be scheduled based on the employee’s availability and schedule.

Select the Activity, and set the Duration.

Define the date and time. The range between the meetings can be up to three months:

For Fixed time meetings, choose the Date and Time for the meeting, and define the Time Zone.
If an employee has another activity set up at the meeting time, the meeting will overwrite the activity. Keep in mind, it won’t overwrite time-off activities.

For Flexible time meetings, choose a date range and define how many employees can be scheduled for the same time slot simultaneously.

You can set recurring meetings if you select Fixed time. This feature is only available for users with the CXone WFM Advanced license.

Select the Frequency. It can be Once, Daily or Weekly.
If you select a recurring meeting, you'll receive an email when scheduling is complete.

Select the recurrence pattern and End date.

You can add a Comment for your employees. This comment will be displayed for the activity on the agent's schedule.

Click Add Employees and select the employees you are creating the meeting for. You can select up to 100 employees.

In the table, you can review conflicting meetings. The new meetings might Overwrite other activities or won't be scheduled (Excluded).

Overwrite: The new meeting will overwrite scheduled activities. This can happen when the new meeting has a Fixed time and is in conflict with another in-work activity.

Exclude: The new meeting won't be scheduled. This can happen when the new meeting has a:

Fixed time and the employee is scheduled for time off.

Flexible time and the employee has a full-day activity or time off, or doesn't have a schedule for that day.

Click Schedule.
The meeting will be added to the employees’ schedules.
