Share Dashboards

Required permissions: Dashboards View & Edit, Employees View

Sharing a dashboard is done in the My Dashboards page. When you create a dashboard, you can choose to make it public or share it only with specific teams or users. For example, a manager creates a dashboard with widgets that measure agent performance. The manager then shares it with specific supervisors who will benefit from the dashboard when reviewing their team's performance. You can also share ownership of a dashboard with another user, enabling them to edit the dashboard as well.

To share a dashboard:

  1. Click the app selector icon of app selector and select Legacy Dashboard.
  2. Click My Dashboards
  3. Select the dashboard you want to share from the drop-down list.

  4. Click the Settings button and select Share Dashboard.

  5. In the Share Dashboard window, define who you want to share the dashboard with:

    • Private—this is the default setting. Only you can see this dashboard.
    • Public—this dashboard will be shared with everyone.
    • Custom—define specific teams or users to share this dashboard with.
  6. For Custom sharing, from the drop-down list, select Employees or Teams.

Another drop-down list will appear with employees/teams listed, depending on your selection. Switch between the two to add both employees and teams.

  7. Select as many employees and teams as you want. You can also search for specific employees/teams.

Only employees who have been enabled to view dashboards will see the dashboard once it has been shared with them. If you select a team, only the employees in that team with permissions enabled will be able to view the dashboard.

The Dashboard permissions are located in Admin > Security > Roles & Permissions.

  8. Define sharing permissions for each team or user you add. From the drop down list to the right of the employee's name, select one of the following:

    • Can view—enables the user to view the dashboard and nothing else. This is the default enabled permission.
    • Is owner—enables the user to perform any actions the original owner can perform, including adding or removing widgets, updating the sharing properties, and deleting the dashboard.

Use this option when you want to share ownership of a dashboard with somebody else.

Whole teams cannot be defined as owners, they can only be defined as viewers.

  9. Click Share.

The dashboard will appear in the available dashboards list for the selected employees in their My Dashboards page.
